How It Works on Site
A smooth launch depends on four things coming together: the site plan, written instructions, the roster, and support around the first shift.
Site Review
The proposal outlines the hours and general duties. The startup walkthrough checks those assumptions against the property. GuardEX confirms where the officer reports, how keys or badges are issued, which doors and gates are active on each shift, where patrols can travel safely, and who can approve an exception.
The walkthrough also brings visibility to details that become clear on site, such as overlapping shift changes, truck queues, tenant access, alarm panels, dead zones, locked mechanical rooms, or posts that require continuous coverage.
Post Orders & Reporting
Post orders follow the order of the shift. They cover arrival, recurring duties, approved access, patrol timing, reports, incident response, contact priority, and closeout. Maps, door names, and screenshots can be added when words alone are not enough.
The reporting setup should match those instructions. When the post orders require a dock check every two hours and an immediate call for a broken seal, the checkpoint schedule and incident category should reinforce the same rule.
Staffing & First Shift
The roster covers every recurring shift and the relief needed around it. Whenever the startup timeline allows, assigned officers receive the current post orders, walk the property, complete sample reports, and practice common procedures before working alone.
On launch day, GuardEX confirms the officer is on site, has the required access and equipment, and can reach a supervisor. Early activity and incident reports are reviewed promptly to confirm that the instructions support the work and to refine details as the operation settles into its routine.
Startup Checklist
Urgency may shorten the timeline, but it does not change the essentials. The duties, instructions, systems, and assigned officers still need to be ready.
Confirm the client approver, day-to-day contact, emergency backups, and GuardEX account team.
Walk every post and route, confirm access points, identify risk windows, and note required equipment.
Assign primary and relief officers who fit the schedule and the requirements of the post.
Approve the current post orders, contact path, patrol route, logs, and incident procedures.
Walk each officer through the property and practice the most important duties and reports.
Confirm arrival and access, review early reports, and verify that the launch checklist is complete.
Frequently Asked Questions
Timing depends on the requested start date, shift hours, required credentials, site complexity, and how many officers need training. GuardEX confirms a realistic start date after reviewing the scope and local staffing. An emergency start may use temporary procedures while the full plan is completed.
A walkthrough is preferred for recurring guard posts because it confirms access, routes, equipment, and operating details that may not be clear from the written scope. If site access is scheduled for launch, GuardEX completes advance preparation remotely and confirms the remaining property details during the supported on-site start.
The core working version should be ready before an officer works independently. It covers the routine duties, access rules, patrol expectations, reporting, and escalation contacts known at launch. Later changes are dated and shared with the assigned team.
Relief needs are reviewed as part of the recurring roster. How many officers are cross-trained, and when they are prepared for the site, depends on the schedule, post requirements, location, staffing availability, and service agreement.
